01Where double-bookings come from
Double-bookings rarely come from a lack of software. They come from several sources of truth. The paper diary at reception, the Instagram DM answered from a phone, the online booking page and the calendar on the owner's phone each hold part of the picture, and nothing reconciles them. The fix starts with a decision: one calendar that every booking lands in, and a rule that nothing counts as booked until it is there. Software helps only after that decision is made. A tool added beside the diary just creates a third place to look.
- List every place a booking can arrive today: diary, phone, DM, web page, walk-in
- Pick one calendar as the only truth and enter everything there the same day
- Retire the old diary or keep it read-only
- A new tool beside the old diary adds a third place to check
02What the tool has to model: services, staff and rooms
A calendar of time slots is not enough for a salon. A colour takes three hours, a trim thirty minutes, and only some stylists do either. A spa adds rooms and equipment: two therapists free at ten does not help if there is one treatment room. Ask four things before choosing a tool. Does each service have its own length? Can it be tied to the people who do it? Can it reserve a room or a machine as well as a person? Can you add cleaning time between clients? If the first answer is no, you will keep seeing overlaps.
- A separate length for each service, not one default slot
- Services tied to the staff who perform them, with their working hours
- Rooms and machines as bookable resources, not just people
- Buffer time for cleaning or changeover between clients
03Reminders, changes and no-shows
A booking that nobody remembers becomes an empty chair, and a change made by phone and never entered becomes an overlap. Look for automatic reminders, a link that lets the client move or cancel their own slot, and a way to block time for holidays and training. Some tools can take a deposit or hold a card to discourage no-shows. Features and prices differ by tool, so check what yours offers and what it costs before you rely on it. We do not measure no-show rates for any salon, and we quote none.
- Automatic reminders sent to the client before the slot
- A client link to move or cancel, so changes land in the calendar
- Blocked time for holidays, training and breaks
- Deposit or card hold only if your tool supports it: check the features and the price
04How the website and a chat fit in
Your website should not hold a second calendar. It should send the visitor straight to the tool that holds the real one. That is what we did for SCP Shine & Style: the booking flow points at the salon's live booking platform. AUTOMATE lists a website chatbot that qualifies and books, booking automation with a CRM, and DM and email auto-responders, at 2,997 EUR a month. We do not sell salon software, and we have not published a case where AUTOMATE replaced a salon's own booking platform. Anything beyond the plan, such as connecting a chatbot to your specific booking tool, is scoped first, and we tell you in the first reply whether it fits.
- The booking button opens the tool that holds the real calendar
- AUTOMATE: website chatbot that qualifies and books, booking automation with a CRM, DM and email auto-responders
- Connecting a chatbot to a specific booking tool is scoped first
- WhatsApp and phone calls are not covered by AUTOMATE
05Where PROOF48 is the wrong choice
If all you need is a calendar that stops overlaps, buy a booking tool and have us link it from a 48-hour site: up to about five pages, 500 to 2,500 EUR, paid after the preview. Off-the-shelf tools exist for salons and spas. We have not compared their prices here, so ask for quotes. AUTOMATE is the wrong buy for that, because it is a 2,997 EUR monthly bundle that includes everything in GROWTH, ad management included. It is also wrong if most of your bookings arrive on WhatsApp or by phone, which AUTOMATE does not cover. A custom booking system with staff rotas, rooms and online payment is a web app from 5,000 EUR and may need a deposit as agreed in our terms. Selling products or gift vouchers online is a store, 2,500 to 4,500 EUR.
- Only need a calendar: buy a booking tool, and a 48-hour site links to it
- AUTOMATE is a 2,997 EUR monthly bundle: wrong for a calendar alone
- Bookings mostly on WhatsApp or the phone: outside AUTOMATE
- Custom booking system with rotas, rooms and payment: web app from 5,000 EUR; products or vouchers online: store, 2,500 to 4,500 EUR
The booking button points at the salon's live booking platform
The written-up SCP Shine & Style build gave every service its own page and pointed the booking flow at the salon's live booking platform. That is the pattern we recommend here: the website sends the visitor to the tool that holds the calendar. We do not publish the salon's booking counts, because we do not measure them, and we have no data on how many double-bookings it had before or after.
See the build: SCP Shine & StyleQuestions, answered
Can a booking tool stop double-bookings by itself?
Only if every booking goes through it. A paper diary, a DM or a phone booking that nobody enters recreates the problem. Pick one calendar and enter everything there.
Does PROOF48 sell salon booking software?
No. We build the website that links to your booking tool, and AUTOMATE adds booking automation and a CRM on top. For a calendar alone, a dedicated booking tool is the better buy.
Can the chatbot take bookings on WhatsApp?
Not within AUTOMATE, which covers website chat, DM, email, booking and CRM. A standalone WhatsApp booking bot is a custom build, priced on request.
What does a spa need that a hair salon does not?
Rooms and equipment that can be booked like a person, and treatment lengths that differ by treatment. Check that the tool can reserve those, not only staff time.
Where PROOF48 fits
Double-bookings stop when there is one calendar, every service has its own length, rooms and staff are modelled, and reminders go out by themselves. The website should send visitors to that calendar, not hold another one. PROOF48 does not sell salon software: a 48-hour site costs 500 to 2,500 EUR, and AUTOMATE, at 2,997 EUR a month, adds booking automation and a CRM for the businesses that want the whole stack.
