02Dates and slots are different things
A wedding takes the whole day, so the software has to close the date the moment you accept it. A portrait session takes ninety minutes plus travel. A mini-session day is a row of short slots at one location. Tools built around slots handle the third well and the first awkwardly. Ask whether a session type can be a whole-day block, whether time for travel can stay free around a booking, and whether a date can be held for a few days without being confirmed. The hold matters most. A couple may take a week to decide, and in that week you should not promise the same date to anyone else.
- Whole-day bookings for weddings, timed slots for portraits and mini-sessions
- Buffer time for travel around each booking
- A hold on a date for a set number of days, released if the deposit does not arrive
- Separate session types, each with its own length and price
03From enquiry to deposit: the trail to keep in one place
The work between the first message and a confirmed date is a sequence: the enquiry, your reply with availability, a quote or package, a contract, a deposit, then reminders and a questionnaire before the day. Software for photographers earns its fee by keeping that sequence in one place, so you never search three inboxes for what a couple agreed. Some steps are good to automate: the acknowledgement, the reminders, the nudge when a quote has sat unanswered. The first personal reply and a custom price are not. A couple can tell when the warm part was a template. We have not compared the studio tools that bundle contracts and deposits, so ask for quotes and check the features yourself.
- Enquiry, availability, quote, contract, deposit, reminders: one trail per client
- Automate the acknowledgement, the reminders and the nudge on an unanswered quote
- Keep the first personal reply and any custom price human
- Contracts and deposits depend on the tool: check what it does and what it costs
04How the website and a chat fit in
Your website should not hold a second calendar. It should send the visitor to the tool that holds the real one, with an enquiry form that asks for the date and place first. That is the pattern we built for SCP Shine & Style: the booking flow points at the salon's live booking platform. AUTOMATE lists a website chatbot that qualifies and books, AI DM and email auto-responders, booking automation and a CRM, plus two custom automations a month. Contracts and online deposits are not on that list, so anything like that is scoped first. We have not published a case where AUTOMATE replaced a photographer's own tool.
- The booking button opens the tool that holds the real calendar
- AUTOMATE: website chatbot that qualifies and books, DM and email auto-responders, booking automation and a CRM
- Contracts and online deposits are not on the AUTOMATE list: scoped first
- WhatsApp and phone calls are not covered by AUTOMATE
05Where PROOF48 is the wrong choice for a photographer
If you need a calendar, a contract and a deposit for one photographer, buy a tool made for photographers and have us link it from a 48-hour site: up to about five pages, 500 to 2,500 EUR, paid after the preview. AUTOMATE is the wrong buy for that. It costs 2,997 EUR a month and includes everything in GROWTH, ad management included. It is also wrong if most enquiries arrive on WhatsApp or by phone, which AUTOMATE does not cover. A custom booking system with live availability, contracts and online payment is a web app from 5,000 EUR, and larger or custom projects may need a deposit as set out in our terms. Delivering galleries to clients is a different product from booking.
- Only need a calendar, contract and deposit: buy a photographer tool, link it from a 48-hour site
- AUTOMATE is a 2,997 EUR monthly bundle: wrong for a calendar alone
- Enquiries mostly on WhatsApp or by phone: outside AUTOMATE
- Custom booking system with live availability, contracts and payment: web app from 5,000 EUR
Not a photographer: a salon whose site points at its booking platform
None of our eight written-up builds is a photographer. The nearest is SCP Shine & Style, a beauty salon in Sector 3, Bucharest, whose rebuilt site gave every service its own page and pointed the booking flow at the salon's live booking platform. That is the pattern we recommend here: the website sends the visitor to the tool that holds the calendar. We do not publish the salon's booking counts, because we do not measure them, and we have no photographer results to quote.

Is Google Calendar enough to take bookings?
For one simple type of session, possibly. Google's appointment schedules give you a booking page, buffer time, a daily cap and reminders, though some features need an eligible Workspace or Google One plan. The help page we read does not mention quotes or contracts, so check that against how you work.
Does PROOF48 sell booking software for photographers?
No. We build the website that links to your booking tool, and AUTOMATE adds booking automation and a CRM on top. For a calendar, contract and deposit, a tool made for photographers is the better buy.
Can the chatbot take bookings on WhatsApp?
Not within AUTOMATE, which covers website chat, DM, email, booking and CRM. A standalone WhatsApp booking bot is a custom build, priced on request.
Should clients be able to book a wedding date online?
That is your call. An enquiry first gives you the conversation a wedding usually needs, and a held date with a deposit protects you either way.
Where PROOF48 fits
A photographer needs software that closes a whole date for a wedding, uses timed slots for a portrait, holds a date until the deposit arrives and keeps enquiry, quote and contract in one trail. For one simple session type, a calendar with a booking page may do. PROOF48 does not sell photographer software: its 48-hour site costs 500 to 2,500 EUR, and AUTOMATE, at 2,997 EUR a month, adds booking automation and a CRM.
