How Instagram DM automation actually works for a small business

Instagram DM automation connects your professional account to software through Meta's messaging API. The software replies after a customer writes or comments. Meta's window to respond is 24 hours for most user actions (up to 7 days when the conversation starts from a Click-to-Direct ad), requires an escalation path to a human, and expects disclosure of automation where the law requires it. PROOF48's AUTOMATE plan, 2,997 EUR a month, lists AI DM auto-responders.

01What happens between a customer's DM and the reply

A customer writes to your Instagram account or comments on a post. Software connected to the account gets a webhook notification, decides what to say (a fixed rule, a template or an AI model) and sends the reply through Meta's Send API. Meta's developer pages list what that software needs: an Instagram professional account, a Facebook Page connected to it, a Meta app with the instagram_manage_messages permission, and a Page access token from someone who can perform the messaging task on that Page. Meta documents a second route, the Instagram API with Instagram Login, for accounts without a linked Page. For production use Meta says to request approval for every permission the app needs. The customer sees none of this plumbing. They see a reply, or no reply. We read these pages on 15 October 2026: developers.facebook.com, under Instagram Messaging, Get started.

  • An Instagram professional account and, on the main route, a Facebook Page connected to it (Meta, Get started)
  • A Meta app with the instagram_manage_messages permission (Meta, Get started and Send a message)
  • Approval of the permissions before production use (Meta, Get started)
  • An app on Standard Access can only send messages to people who have a role on the app, so a live tool needs more than a test setup (Meta, Send a message)

02The rules Meta sets for automated replies

Four rules shape every DM tool. First, the window: Meta's Messenger Platform policy and the Instagram Messaging overview say the window lasts 24 hours for most user actions, and up to 7 days after a first message that comes from a Click-to-Direct ad. Second, what happens after it: you can add a tag to send outside the window, and the policy describes a Human Agent tag that lets a business manually respond within 7 days. It also warns that using tags outside approved cases may restrict your ability to send messages. Third, comments: a private reply to a comment must go out within 7 days of the comment, only one message can be sent, and the conversation continues only if the person replies, inside the 24-hour window. Fourth, people: apps must have an escalation path to a human agent, and automated chats must disclose that the user is talking to an automated service when the law requires it. Meta recommends telling users even where it does not. Marketing messages have their own pages, which we did not read.

  • 24 hours to respond for most user actions, up to 7 days when the conversation starts from a Click-to-Direct ad (Messenger Platform policy; Instagram Messaging overview)
  • A message tag allows sending outside that window; the Human Agent tag is for manual replies within 7 days (Messenger Platform policy)
  • Private reply to a comment: within 7 days of the comment, one message only, and only a reply from the person lets you continue. On Live, only during the broadcast (Private Replies page)
  • An escalation path to a human agent is required, and automation may be used first to qualify intent (Instagram Messaging overview)
  • Disclose the automation where applicable law requires it; Meta recommends doing so anyway (Instagram Messaging overview)

03Five questions to ask any DM tool before you pay

These come from the rules above, not from a vendor checklist. Ask them in writing and keep the answers. Meta's escalation page describes two paths: a custom inbox where people talk to a human directly, and automated experiences that escalate on a fallback intent, a keyword or quick replies, then pass the thread to a custom inbox or to the Instagram inbox through Conversation Routing. Meta ties send restrictions to the misuse of tags, and an app without Advanced Access only reaches people who have a role on that app. So a tool that cannot answer the first two questions may be unable to message your real customers, or may lean on tags it should not use. That account is your business's front door on Instagram.

  • Does its Meta app have Advanced Access? Meta says Advanced Access applies if an app serves professional accounts the app owner does not own or manage (Instagram API with Instagram Login page)
  • What does it do at hour 25, when the window has closed?
  • Where does a person take over, and does the thread move to the Instagram inbox? Meta's app review asks apps to demonstrate that thread ownership transfers to the inbox on escalation
  • Does the first automated message say it is automated?
  • Whose Meta app and whose login hold the connection, and what happens to it if you leave?

04What PROOF48's AUTOMATE plan lists for DMs

AUTOMATE costs 2,997 EUR a month. Its feature list includes AI DM and email auto-responders, comment moderation and auto-replies, an AI website chatbot that qualifies and books, booking automation with a CRM, two custom automations a month, and everything in GROWTH. The plan page does not say which platforms the DM responders cover or how they connect to Meta, so we claim nothing on either here. Tell us the channel your customers use before you buy. For how an automated message should read, see our post on follow-up messages that do not feel robotic. For what an assistant does overall, see our post on AI assistants for small business.

  • AUTOMATE, 2,997 EUR a month: AI DM and email auto-responders, comment moderation and auto-replies
  • Also listed: AI website chatbot that qualifies and books, booking automation with a CRM, two custom automations a month
  • Not covered: WhatsApp and phone
  • Not stated on the plan page: which platforms the DM responders cover, and how they connect to Meta

05Where PROOF48 is the wrong choice

If you get a handful of DMs a day, answer them yourself. Nothing here justifies 2,997 EUR a month for that volume. If a ready-made DM tool already fits and passes the five questions above, buy it. If your customers write on WhatsApp or call you, AUTOMATE does not cover either. We hold no published case study of Instagram DM automation and no measured reply times or sales from it, so we quote none. Whether you must disclose automation to your customers is a legal question for a lawyer. If you have no website yet, start there: PROOF48 builds a business website of up to about five pages in 48 hours, for 500 to 2,500 EUR, and you pay after the preview.

  • A few DMs a day: answer them yourself
  • A ready-made DM tool that passes the five questions: buy it instead
  • WhatsApp or phone: outside AUTOMATE
  • No website yet: a 48-hour website for 500 to 2,500 EUR comes first, paid after the preview. A store (2,500 to 4,500 EUR) or a web app (from 5,000 EUR) is a separate project with its own timeline, and larger projects may need a deposit as set out in our terms

A reply is only as good as the page it points to

SCP Shine & Style, a beauty salon in Sector 3, Bucharest, has a rebuilt site with a booking flow that points at the salon's live booking platform. That matters for DM automation for one reason: a reply that ends in a booking link needs a booking page that works. The case study does not say the salon uses Instagram DM automation, and we do not publish its booking counts, because we do not measure them and will not estimate them.

Questions, answered

Can automation message people who have never contacted me?

The Meta pages we read describe replying to a customer's message (24 hours for most user actions, up to 7 days after a first message from a Click-to-Direct ad) or to a comment (a private reply, within 7 days, one message). Marketing messages and opt-ins are covered on separate pages that we did not read, so check them before you send anything promotional.

What happens if I reply after 24 hours?

Meta says you can add a tag to send outside the standard window. Its policy describes a Human Agent tag for manual replies within 7 days, and warns that using tags outside approved cases may restrict your ability to send messages. The Private Replies page lists the Human Agent feature among its requirements.

Do I have to tell customers they are talking to a bot?

Meta says automated chats must disclose this when applicable law requires it, at the start of a conversation, after a significant lapse of time, and when a chat moves from a human to an automated experience. It recommends doing so even where the law does not. Whether the law requires it for you is a question for a lawyer.

Does PROOF48 set up DM automation on my Instagram account?

AUTOMATE lists AI DM and email auto-responders. The plan page does not name the platforms or the Meta connection, so tell us your channel and we say plainly whether it fits. WhatsApp and phone are not covered.

Where PROOF48 fits

Instagram DM automation is software connected to your professional account through Meta's messaging API. Meta's own pages set the terms: 24 hours to respond for most user actions (up to 7 days when the conversation starts from a Click-to-Direct ad), a Human Agent tag for manual replies within 7 days, one private reply per comment within 7 days, an escalation path to a person, and disclosure where the law requires it. Ask any tool how it handles all five before you pay. PROOF48's AUTOMATE, 2,997 EUR a month, lists AI DM and email auto-responders; it does not cover WhatsApp or phone.

A follow-up message avoids sounding robotic when it names something specific and true about that exact customer's action, a pickup time, an order number, a batch that just landed, rather than a generic "thanks for your order" that could apply to anyone. The trigger can be fully automated; the content still has to reference the real, specific event.
