01What a chatbot can handle for a gym
The questions a gym gets are repetitive and the answers already exist: what time does the evening class start, what does a membership cost, is there parking, can I bring a friend, what do I wear to a first session. A chatbot that reads your own timetable, price list and rules can answer those at 10 pm and offer a trial slot, which is when the front desk is closed. It earns its place on that repetitive part and nowhere else. It also repeats whatever it was given, so a changed timetable or a closed bank holiday that nobody entered becomes a wrong answer, delivered with confidence.
- Hours, prices, class times, parking and what to bring, as you published them
- A trial-visit slot offered from your real calendar
- A reply at 10 pm instead of the next afternoon
- Nothing it has not been given: a changed timetable that nobody enters becomes a wrong answer
02What it must not do: health advice, promised results, money disputes
A gym is full of questions that are not for a bot. Can I train with this knee, is this safe in pregnancy, what should I eat to lose weight, will I see results in a month. Those belong to a coach or a doctor, and the assistant should say so and pass the visitor to a person. The same goes for a refund, a quarrel over a frozen membership or a complaint: it can state the written policy, but a person decides. It should not collect health details in the chat either. Article 9(1) of the GDPR puts data concerning health in a special category whose processing is prohibited unless an exception applies. PROOF48's own AI assistant page lists medical diagnosis as a poor fit.
- No advice on injuries, pregnancy, conditions or diet: a coach or a doctor answers
- No promise of results, or of how fast they come
- Refunds, freezes and complaints: it quotes the written policy and hands over to a person
- No health details collected in the chat
03The maths, and the channel problem
The chatbot is sold inside AUTOMATE, at 2,997 EUR a month, and AUTOMATE includes every tier below it. Divide 2,997 by your own monthly membership fee. If that fee were 50 EUR, the answer is about 60 members' fees every month, before any other cost, just to cover the plan. That is only an example, and 2,997 EUR pays for the whole AUTOMATE bundle, which also holds ad management and 30 blog posts a month, not for the chatbot alone. Then look at where your enquiries arrive. AUTOMATE covers website chat, AI DM and email auto-responders, booking automation and a CRM. It does not cover WhatsApp or phone calls, so a chatbot on your site never sees a question that comes to your phone.
- AUTOMATE: 2,997 EUR a month for the whole bundle, or 29,970 EUR billed annually, with every tier below it included
- Divide it by your membership fee to see how many members it has to justify
- Covered: website chat, DM and email auto-responders, booking automation, CRM
- Not covered: WhatsApp and phone calls
04What to try first, for almost nothing
Before buying anything, count your enquiries for four weeks: how many arrive, by which channel, about what, and how many come when nobody can answer. If most are the same five questions, put those answers on the site as text, next to the timetable and prices, and write one short reply you can paste. Make the contact form send a confirmation, and decide who replies within the same working day. That costs your time, not 2,997 EUR a month. A chatbot is worth testing only if people still ask the same questions after that, at hours you cannot cover, in numbers that justify the price.
- Log every enquiry for four weeks: channel, topic, time of day
- Answer the five repeated questions on the page and in one saved reply
- Name who replies, and by when
- Consider a chatbot only if the same questions keep arriving out of hours
05Where PROOF48 is the wrong choice for a gym
We have not built a chatbot for a gym, and none of our eight published builds is a gym. For a single studio with a few enquiries a day, AUTOMATE is the wrong purchase: a clear timetable page and a quick reply cost less. It is also wrong if most of your enquiries come by WhatsApp or phone, because those sit outside the plan, or if you have no website yet. In that case the order is a site first: up to about five pages, 500 to 2,500 EUR, built in 48 hours and paid for only after you see it. AUTOMATE makes more sense for a larger operation with several locations, many after-hours messages and a timetable somebody keeps current every day.
- No gym chatbot among our eight published builds
- A single studio with a few enquiries a day: a good page and a fast reply cost less
- Enquiries that come by WhatsApp or phone sit outside AUTOMATE
- No website yet: the 48-hour site comes first
Not a chatbot: a booking flow that points at the calendar already in use
None of our eight written-up builds is a gym or a chatbot for one. The nearest pattern is SCP Shine & Style, a salon in Sector 3, Bucharest, where the booking flow points at the salon's live booking platform. That is the rule we would hold a gym chatbot to: when it books a trial, the slot should land in the calendar the gym already uses, not in a second one. We do not publish the salon's booking counts, because we do not measure them.

Can a chatbot tell a member whether a workout is safe for their injury?
No. That is a coach's or a doctor's judgment. The assistant should say so and pass the question to a person, and it should not collect health details in the chat.
Can the chatbot sell memberships?
AUTOMATE lists a website chatbot that qualifies visitors and books. It can answer questions and offer a trial slot. We do not claim it takes membership payments.
Can PROOF48 connect a chatbot to my gym's WhatsApp or phone line?
Not as part of AUTOMATE, which covers website chat, DM, email, booking and CRM. A standalone WhatsApp or voice assistant is a custom build, priced on request.
What does a chatbot need from me to work?
Your timetable, prices and rules as text, the questions you want it to ask, and a person who keeps them current. Our AI assistant page describes testing against real scenarios before launch and a weekly review of conversations.
Where PROOF48 fits
For most independent gyms an AI chatbot is not worth 2,997 EUR a month (the price of the whole AUTOMATE bundle, not of the chatbot alone): a timetable and prices as text and a fast reply do much of the same work. It can answer hours and prices and book a trial, never give health advice, and it misses WhatsApp and phone. PROOF48's AUTOMATE plan fits a larger operation, and we say so plainly when it does not fit yours.
