01What it replaces: the blank page
Most small business owners lose time on writing they keep postponing: the reply to a complaint, a product description, the email to a supplier, a job ad, the text of an offer. ChatGPT turns a few lines of your own notes into a first version in seconds. It also shortens, changes the tone, summarizes a long document, drafts a translation for someone fluent to check, and explains why a spreadsheet formula returns an error. What you save is the time to a first draft. You still read every line, because the tool writes fluent sentences whether or not they are true.

02What it does not know: your business
ChatGPT does not know your price list, your stock, this week's opening hours, the discount you promised a regular customer or what your contract says, unless you paste it in each time. When a fact is missing it tends to fill the gap with something plausible, and a plausible price in an email to a customer is worse than a blank. The practical rule is short: give it the facts you want used, tell it to use only those, and read the result against your own records. A colleague learns your rules and answers for applying them. A chat window answers for nothing.

03What it does not do alone: answer your customers
A ChatGPT tab is a tool for you. It does not watch your website chat or your inbox, it does not write into your booking calendar, and it does not reply at 21:00 unless somebody builds that around it. A customer-facing assistant is a different job. It needs answers you have approved, a clear moment when it hands the conversation to a person, and a log of conversations that someone reads. 04Where a professional stays in charge
ChatGPT can explain a tax term, summarize a contract clause or list what a health leaflet says, in plain words. It cannot take responsibility for the answer. Whether a cost is deductible, whether a clause protects you, what a symptom means: each depends on facts about you, and the judgment belongs to your accountant, lawyer or doctor, who answers for it. Customer data needs the same care. Names, ID numbers and health details do not belong in a consumer chat tool until you have read the data settings for your plan in OpenAI's own documentation. We have not checked them for this article, and your data protection adviser decides what is acceptable.

Twelve languages of product claims, and one product pulled
Korean Cosmetics is launching a skincare line in 12 languages, and every product claim was rewritten for EU cosmetics regulation across all of them. One product was pulled from sale entirely for exceeding an EU ingredient limit. A text tool can produce a sentence in twelve languages quickly. Deciding that the sentence may be printed is another job, and it needs someone who knows the rule and answers for the result. The case study does not record which drafts a tool produced, and we make no claim about that. The point is where the check sits.

Can ChatGPT answer my customers for me?
Not by itself. A ChatGPT tab does not watch your website chat or inbox and does not book into your calendar. Replying to customers takes an assistant built around approved answers, with a handover to a person and a log you review.
Is a ChatGPT subscription enough for a small business?
For your own drafting, rewriting and summaries, often yes. For talking to customers on your behalf it is not enough, because nothing connects it to your site, your calendar or your approved answers.
Should I paste customer details into ChatGPT?
Not until you have read the data settings for your plan in OpenAI's documentation and agreed the rule with your data protection adviser. Names, ID numbers and health details need the most care.
