01The questions it answers well
A guest asks things in a predictable order, and every question has one correct answer the hotel already knows. Before booking: do you take dogs, is there parking, how far is the beach, what is the cancellation rule. After booking: when can I check in, can I leave my bags. During the stay: until what time is breakfast, is there Wi-Fi in the rooms, where is the restaurant. An AI concierge gives those answers at 11 pm without waking reception. That is the whole job, and done well it is enough.
- Before booking: pets, parking, distance to the beach or the centre, cancellation rules, how many people each room sleeps
- After booking: check-in and check-out times, luggage storage, how to find the hotel
- During the stay: breakfast and restaurant hours, Wi-Fi, quiet hours, late check-out rules
- Every answer comes from notes the hotel wrote, not from the concierge's imagination
02What it should never answer alone
Some questions need a person or live data. A price or an availability for one particular night is wrong the moment the concierge guesses, so it should answer only from a system it can actually read. Complaints and refunds need someone who can apologise and decide. Anything about health or safety, and any situation outside the ordinary, goes to a human at once. A concierge that guesses is worse than none, so the rule is simple: if the answer is not in its notes, it says so and hands the guest to reception.
- Price or availability for a given night, unless the concierge reads live data
- Complaints, refunds and compensation
- Anything about health or safety
- Anything missing from its notes: it says so and passes the guest to reception
03What a website concierge cannot do for a guest
A human concierge calls the taxi, walks a family to the room and notices when a guest looks lost. A chat on your website answers and records the request, but the errand itself stays with your staff. It is also limited to where you put it. PROOF48's AUTOMATE plan covers site chat, DMs and email, booking and a CRM. It does not cover WhatsApp or phone. A standalone WhatsApp or voice assistant is a custom build, priced on request. So a guest who rings reception or writes on WhatsApp never meets it.
- It answers and records requests; your staff still do the errand
- AUTOMATE covers site chat, DMs and email, booking and a CRM
- AUTOMATE does not cover WhatsApp or phone
- A guest who calls reception never meets the chat
04Where PROOF48 helps, and where it is the wrong choice
The website chatbot sits in AUTOMATE, which costs 2,997 EUR a month and includes everything in the lower plans: the chatbot that qualifies and books, AI auto-responders for DMs and email, booking automation with a CRM, and two custom automations a month. For a guesthouse with a handful of rooms, where reception answers within minutes, that is more than the problem is worth. It fits a larger property with a steady stream of repeat questions and a live website to put it on. If you have no site yet, start there: a website is 500 to 2,500 EUR, built in 48 hours, and you pay after you see the preview.
- AUTOMATE, 2,997 EUR a month: website chatbot, DM and email auto-responders, booking automation with a CRM, two custom automations a month
- Wrong choice for a small guesthouse where reception answers fast
- Wrong choice if the facts change daily and nobody keeps the notes current
- It needs a live website; a 48-hour website is 500 to 2,500 EUR, paid after the preview
A hotel site that already says who answers what
Santorini Hotel is a seafront hotel in Eforie Nord. PROOF48 built its website and its guest app from one shared codebase, and the site publishes separate reception, restaurant and complaints phone lines, a booking enquiry flow and structured data that reads the property as a hotel. That split of who handles what is the list you hand a concierge. The case study lists no AI concierge, and we do not publish the hotel's occupancy or booking figures.

Can an AI concierge take a room booking?
In PROOF48's AUTOMATE plan the website chatbot qualifies an enquiry and books through booking automation. What it can confirm depends on what it is connected to. The Santorini Hotel case study lists a booking enquiry flow, and we make no claim about connecting to any hotel reservation system.
Does an AI concierge replace reception?
No. It takes the repeat questions, including the ones that arrive at night, and passes complaints, refunds, safety issues and anything outside its notes to a person. Reception keeps the judgment calls.
Does it work on WhatsApp or by phone?
Not in PROOF48's AUTOMATE plan, which covers site chat, DMs and email, booking and a CRM. A standalone WhatsApp or voice assistant is a custom build, priced on request. If your guests mostly reach you on WhatsApp or by phone, a site concierge alone will miss them.
How much does it cost?
AUTOMATE is 2,997 EUR a month and includes everything in the lower plans. The website under it is a separate 48-hour build, 500 to 2,500 EUR, paid after you see the preview. No chatbot-only price is published.
Where PROOF48 fits
An AI concierge is good at the questions a hotel has already answered in writing, at any hour, and it hands everything else to reception. PROOF48's AUTOMATE plan, 2,997 EUR a month, includes a website chatbot, DM and email auto-responders, booking automation and a CRM, and WhatsApp and phone are not in AUTOMATE. For a small guesthouse that answers fast, it is probably the wrong purchase.
